Holiday weeks bring early payroll processing — please review the adjusted time-entry deadlines below to ensure timely pay for all weekly employees.

** PAFs must be submitted and approved by all relevant parties by these early deadlines listed for timely processing and accurate payments for these pay periods.
- You will see three (3) time entries during the week ending December 20. Please be mindful that you choose the correct week when entering time.

Time Entry Cutoff for Dec 28 - Jan 3 is January 6th, 2026.
For Exempt (Semi-Monthly) employees, the deadline to submit approved employee transactions effective December 31st, or included in the final paycheck of the year, is December 12th. The final semi-monthly payroll of 2025 will be processed on Friday, December 19th.
This includes, as needed:
- Job or Pay Changes
- Separations
- Leave Actions
- Time off entries (especially for employees separating)
- End of Year Supplements
Earnings Codes
Per the Holiday Pay Calendar, please use the following codes for the respective dates:
- Holiday - Code 212
- December 24 & 25, January 1
- Winter Break - Code 002 Regular
- December 26 & 29
- President's Bonus Days - Code 212
- December 30 & 31
As a reminder, you may add the payroll calendar to your outlook. All dates will be visible to you, and you can set reminders for yourself.
WINTER BREAK:
Staff Members working during Holiday or Winter Break
Should you have individuals who are required to work between December 23rd and January 2nd, please refer to the Pay Practices Page on Access Tufts which details eligibility and how staff who work during the holidays/winter break should be compensated.
Essential and non-exempt staff
- Essential union and non-exempt staff employees who are required to work on Winter Break days will be paid at time and a half (code 102) and are not eligible for an equivalent day off.
- Essential union and non-exempt staff employees who are required to work on Holidays will be paid at time and a half (code 102) and are eligible for an equivalent day off, to be tracked on the department level.

- Dining employees hired after April 3, 2019, and beyond will receive straight time (pay code 002) for the days identified as Winter Break.
Exempt Staff
- Exempt staff employees who are required to work on Winter Break days will be able to use the equivalent time in full-day increments during the rest of the Fiscal year (until June 30, 2026) with supervisor approval.
