The Time Management module within the PeopleSoft HR Workforce Portal is where hours worked and time off are maintained. While every employee can go into eServe/Employee Self Service to view their own attendance records and accrued time, an authorized department staff member called a Timekeeper is responsible for both the Time Entry and Time Off Tracking processes.

To request access to Time Entry, complete the TSS System Access Request Form.
Please note: Once access has been granted, you must be on a Tufts Network or logged into the VPN to access to the Workforce Portal & Time Management module.
Time Entry & Time Off Tracking
Both processes are critical for tracking employee attendance, but Time Entry is time sensitive and determines an employee's weekly paid hours.
- Time Entry
- Due Tuesdays by 3pm ET
- The weekly process of entering and submitting hours worked for non-exempt and salaried non-exempt employees (hourly staff, student workers, and temporary employees) for payroll processing.
- Time Off Tracking
- Entering paid time off taken by exempt staff employees (salaried staff paid semi-monthly).
- Ideally, time should be entered on at least a monthly basis to ensure accruals are not missed.
Each department is responsible for maintaining attendance records for all employees.
Features and Functionality
What is a Timekeep?
All employees are assigned to a Timekeep. A timekeep houses a grouping of employees in the same school, division, or unit whose hours worked and time off are tracked by a central timekeeper or timekeepers within the unit. The timekeep is assigned a 3-digit number that is then used when referencing time management for any employee therein. Timekeepers may have access to one or several different timekeeps, and employees with multiple jobs will appear in one timekeep per job.
Timekeeps are not tied to a Dept-ID, which allows an employee's inclusion in a timekeep to be flexible.
Does it matter which Timekeep an employee is in?
As far as TSS is concerned, which timekeep an employee is a member of is arbitrary - as long as the appropriate timekeeper has the appropriate access to submit that person's time. Timekeeps are intended to serve as a way of grouping or organizing employees more for the timekeeper's convenience than for any other purpose.
Roster of Active Employees
A full list of all employees - Exempt and Non-Exempt - assigned to this Timekeep. Timekeepers with access to the timekeep can manage time for all active employees therein.
Time Off Balance Inquiry
Find all Sick, Vacation, Personal, and Bonus time already taken or accrued/awarded for each eligible employee. If an employee has submitted their resignation, be sure all time taken has been entered before their separation is processed to avoid overpayment.
- Vacation Accruals: A monthly vacation accrual process (on the 15th of the month) adds appropriate hours for vacation. The policy for vacation accruals can be reviewed here: https://access.tufts.edu/vacation-and-scheduling-vacation.
- Sick Time Accruals:
- Non-exempt sick time is added on the first Friday of the month. Exempt sick time is added on a rolling basis (replenished 12 months from date used)
