Affiliate Account
Background
Affiliate accounts can be provisioned at Tufts when someone requires access to Tufts University resources. Some examples might be a visiting faculty member or researcher needing library access, a consultant needing access to lab space, files or software, a temporary hire back-filling an employee on leave, a research collaborator needing inclusion in a Tufts Group email, a retired faculty member returning to teach a 2-week seminar or a service provider needing building access to pick up soiled lab coats and deliver laundered ones.
There are three types of Affiliate accounts at Tufts: eReg-sourced, HR-sourced and FIS-sourced. Regardless of Affiliate type, all new Affiliates at Tufts are provisioned with a permanent Tufts account consisting, at a minimum, of

A Tufts username

A Tufts email address

An Affiliate ID (eReg) or an Employee ID (HR and FIS Affiliates)
The primary difference among the Affiliate types is the way the Affiliate account is created, sourced and managed on an ongoing basis. The most prevalent type of Affiliate account is the eReg Affiliate account. Instructions for requesting an eReg Affiliate account are covered below.
Requesting an eReg Affiliate Account
The majority of affiliates at Tufts are eReg-sourced affiliates. When you click the Request Affiliate button below and submit a completed request form, you are requesting the creation, activation or updating of an eReg Affiliate account for a new or previously existing Tufts account.
Selecting and completing the eReg “Request Affiliate” form will automatically create a Service Now ticket to accomplish any of the following:

Create a new Tufts active eReg Affiliate account

Reactivate an inactive eReg Affiliate account using information from a preexisting Tufts account

Extend the term of an active eReg Affiliate account that is not currently expiring

Create a temporary or interim Affiliate account to allow access to Tufts resources prior to an employee or student going through the actual onboarding process

Ensure an uninterrupted transition from employee or student status to Affiliate status for an individual whose relationship to the university is changing. (Example: A retiring employee is becoming a part-time Affiliate to assist with training a replacement.)

Create a new Affiliate account for an expiring eReg Affiliate moving into a new eReg Affiliate role (e.g., a Friedman eReg affiliate who is becoming a Cummings School eReg Affiliate)

Update stored information about an eReg affiliate such as a personal email address
Required Affiliate Account Request Inputs
To complete the request form and facilitate processing of the account, you’ll need the following information:

Group: ___________________ (The university division or school that the Affiliate is/will be associated with. Examples might be “Central Operations, Finance” or “A&S”. You also need to specify whether the individual will be an Employee or Student Affiliate. If in doubt, select Employee.)

An Expiration Date for the account: _____________________ (In general, the expiration date cannot be greater than 1 year from the application date. Sponsors are sent automated reminders to request an extension when the expiration date is approaching.)

Sponsor Information: eReg Affiliate Extensions, Expirations and Terminations
Extension Reminders
Several weeks before an eReg Affiliate account is due to expire, an account sponsor will begin to receive automated reminders to extend the account. At the bottom of the reminder is a link which the sponsor can use to submit an extension request. This link is ONLY for sponsors whose affiliate accounts are in the process of expiring.
Extension requests, whether submitted via the provided link or submitted via a TTS Service Desk request, must include the length of the extension – up to one year. The TTS Service Desk can be reached at 617-627-3376 or via email at it@tufts.edu
Affiliate Sponsor Changes
Affiliate sponsors who are leaving the university or changing their university role and who will no longer be sponsoring an Affiliate, can help ensure the Affiliate’s uninterrupted access to resources. This is done by contacting the TTS Service Desk and providing the following information:

The (replacement) Sponsor’s Tufts email address or username

Affiliate Account Immediate Terminations
Rather than waiting to reach an Affiliate account expiration date with its associated 4-week Warning period, sponsors can contact the TTS Service Desk to request immediate termination of an Affiliate account. Requests for immediate termination should include the following:
