Decommissioning Computer and Electronic Equipment at Tufts
When employees leave the university or computer equipment is no longer needed, it's important to follow the correct procedures to ensure both the security of university data, your personal privacy and confidentiality, and the proper disposal of electronics. Here’s a step-by-step guide for department administrators and employees.
What Employees Should Do:
- Returning Equipment: When departing the university, all university-issued computer equipment, including laptops, desktops, iPads, phones, and other electronics, should be returned to your department manager.
What Department Administrators/Managers Should Do:

Notify TTS: As soon as the equipment is returned, notify TTS that data needs to be wiped from the device. This applies whether the equipment is being decommissioned or reassigned to a new hire.
To notify TTS:
- Submit a ticket by emailing it@tufts.edu or calling the TTS Service Desk at 617-627-3376.
- Include details such as the type and number of devices that need to be picked up and their location.
Types of Equipment to Turn In:
Make sure to return the following:
- Computers (laptops and desktops)
- iPads
- Tufts-issued phones
- Printers
- Hard drives
E-Waste vs. IT Data Wipe and Recycling Requests:
It’s important to distinguish between e-waste and IT-related disposal requests:
- E-Waste Pickup: For non-data-related equipment (monitors, keyboards, mice, cables, etc.), submit a facilities request for e-waste pickup.
- IT Data Wipe and Recycling: For any data-related equipment (laptops, desktops, phones), submit an IT request to have the data wiped before the equipment is recycled.
Remote Employees:
If a remote employee is returning equipment, this should be handled on a case-by-case basis. Department managers are responsible for coordinating the return of equipment from remote workers. IT can assist with the process if necessary.
Personal Devices:
For personal devices, it is crucial to wipe all data before disposal or recycling. Here are links to instructions for wiping common devices:
