Hiring Temporary Workers via a Managed Service Provider (Tufts Temps)
Tufts University allows temporary workers to be hired through its Managed Service Provider (MSP), called Tufts Temps. This process is best if you have not already identified a candidate and need to begin the search.
To get set up:
- Complete the Expense Authorization Form (PDF) and send it to TuftsTemps@tufts.edu or Alan Gusse agusse@metaprocure.com.
- After you are set up, access the requisition form using Single Sign On (SSO), which is the same login you use to log on to the Tufts’ system every day. You complete this requisition form each time you want to hire a temporary worker.

If the temporary worker needs...
- Only a Tufts email and a listing in the directory: Complete the TTS Affiliate Account Request Form.
- Access to PeopleSoft HR, PeopleSoft Finance, Marketplace, e-Requisitions, e-Check Voucher: Complete the Unpaid Personnel Record Form. Please select “Volunteer/Other” as the category for your POI.
After the Unpaid Personnel Record is created, your temporary worker must submit separate applications for the system access they will need. Links to some of those applications can be found below:

Hiring Temporary Workers directly on Tufts Payroll
This process is best suited if you have already identified a candidate. However, if you are looking to search for and procure temporary help, please use Tufts Temps. To get started, you need to complete the Temporary Hire Request Form. It is an online form that is automatically sent to Tufts Support Services.

Temporary Hires cannot be entered into eServe, and requests need to be submitted via an online Temp Help Request Form. This request can only be submitted by an approved ePAF submitter within your department/division.

Background Check
All Temporary Workers and Non-Tufts student workers must undergo a background check.
- Upon submission of the online form, the information will be reviewed by Tufts Human Resources to evaluate whether and what level of background is needed for the position, duties, and work location.
- Temporary Workers may not start to work until the background check is completed.
Temporary Hire Payroll Onboarding
Payroll Onboarding Process:
- Once the background check is completed, the hire will be entered into the Tufts HR system (eServe) by TSS, which will generate an onboarding email to the temporary worker. All temporary workers must complete the payroll onboarding requirements before beginning to work.
- Before on-campus temps can begin, they must meet the COVID-19 vaccine and safety requirements.

Continuing to Employ a Graduated Student as a Temporary Worker
Once your current student worker graduates, the active student job needs to be terminated and they need to be rehired as a temporary worker.
This is due to the change in tax rates and other applicable pay and benefits laws in Massachusetts. As a result, it is important that we have them in the correct employment category, otherwise their hours and eligibility will not be recorded correctly. This may impact the student negatively.
Hiring a Recently Graduated Student as a Temporary Worker
You can hire a graduated student as a temporary worker. Please indicate on the Temporary Hire Request Form that you are hiring a graduated student.
- A student cannot have an active student job AND a temporary worker job; therefore, any active student job(s) need to be terminated prior to hiring the student as a temporary worker. Upon submission of the online form, TSS will check whether the student has an active student job and assist in terminating the currently active student job.
- If you know that you will hire a graduated student as a temp over the summer, the background check can be done in advance to expedite hiring. But please note, if the position is working with vulnerable populations, please know that parts of the background check need to occur at the time of hire.
Hiring a student from another university
If you are hiring a student from another institution, they need to hired as temporary workers. They cannot be hired as student workers as they are not enrolled in Tufts.
Non-Tufts students who are F-1 or J-1 visa holders must be authorized to work at Tufts, otherwise they cannot be hired and paid. For F-1 students, this is typically an endorsement on page 2 of their Form I-20 and for J-1 students this should be a letter from the Responsible Officer articulating the approval. Any questions about visa/work eligibility should be directed to their sponsoring school's international center office.
