Obtaining a Travel Authorization Number (T-Number)
Audience: Travel arrangers
A T-Number, or Travel Authorization Number, is required to book travel for individuals traveling on behalf of Tufts University who do not have a Travel Card (T-Card), or where a local rule applies. This includes students, non-employee guests, and employees without a travel card. It is needed for all travel involving an overnight stay or the purchase of an air, rail, or bus ticket.
Procedure
The traveler must complete a T-Number Request Form outlining the purpose of the trip and estimating the total costs. The form will be routed for approval based on the traveler's relationship with the university:
- A Department Administrator or other designee with fiscal or budgetary responsibility will approve travel for students and non-employee travelers
- An account must be created on behalf of student travelers booking with Egencia, but students cannot create the account themselves, it must either be created for them by a department admin or a request may be set to TSS to create the student's Egencia profile before travel can be booked.
- Supervisors will approve travel for employees
The completed form will automatically route to the appropriate approvals for review. Email confirmation of the approval will be sent to the submitter and/or the traveler (if not the same person), along with the Travel Authorization Number (T-Number).
The issuance of a T-Number will allow the traveler to make arrangements through the university’s authorized corporate travel agencies and the university will be billed directly. Upon completion of the trip, the individual will be required to complete and submit a Travel Report.
