Accruing Time and Functional Information
- Tufts University Vacation Policy
- A monthly vacation accrual process (on the 15th of the month) adds appropriate hours for vacation. If you are too close to the maximum hours, you will only receive your accrual up to the maximum.
- If you take time off and report it promptly to your timekeeper, the vacation accrual process that runs on the 15th will do a "look back" at the prior month for any time off entered after the last accrual and then adjust the balance accordingly.
- Example: You are at the maximum balance allowed, but you are taking July 5-7 off as vacation time. If the time is recorded by your department administrator before July 15, and the time taken drops you below the maximum balance, you will accrue vacation time on July 15.
- The system displays projected balances for vacation. When the maximum balance for Vacation is approaching, the time will show in red.
- A monthly vacation accrual process (on the 15th of the month) adds appropriate hours for vacation. If you are too close to the maximum hours, you will only receive your accrual up to the maximum.
- Tufts University Sick Time Policy
- Non-exempt sick time is added on the first Friday of the month.
- Exempt sick time is added on a rolling basis (replenished 12 months from date used)
- Personal days do not accrue/carry over; they are awarded July 1 and must be used by June 30.
- Personal Days will not appear until after the Fiscal Year Closeout Payroll is run - this can be as late as July 15 of a given year.
- Bonus days for attendance must be used one year from the employee anniversary date.
New or returning Employees
If an employee is hired or returning to work from unpaid leave, on or before the fifteenth (15th) day of the month, the employee will receive vacation credit for the month.
Separated Employees or Employees going on unpaid leave
If an employee is terminating, or going out on unpaid leave, after the fifteenth day of the month, the employee will receive vacation credit for the month. Upon completion of the trial period, new employees receive vacation accrual retroactive to their first day of employment.
Frequently Asked Questions
What if my Time Off Information is incorrect?
If you have taken time off that is not on your history, be sure to allow your Department Admin or Time Keeper time to have it entered. Contact your Department Admin or Time Keeper directly if it hasn't been entered within 2 pay periods since you submitted the time.
If you believe your Accruals & Awards are incorrect, review the accruals processes and then speak with your Department Admin or Department Manager.
Where can I see a breakdown of the time I've taken, or the time I've accrued?
At the bottom of the Time Off Information page is an interactive table. This table can be filtered to show Time Taken, broken down by the type of time taken, as well as Accruals & Awards.
