TTS AV Policy and Pricing for Tufts Classes and Events
Tufts Technology Services (TTS) provides audio-visual equipment and support for classrooms, meetings, and events on all Tufts campuses. Use the A/V request form to schedule services.
Effective July 1, 2024, the following policies and pricing are in effect for all Audio Visual (AV) related to Tufts classes and events.
Operating Hours
Classroom Support:
- Medford: Monday - Friday, 7:30 AM - 7:00 PM
- Boston: Monday - Thursday, 7:30 AM - 8:00 PM; Friday, 7:30 AM - 6:00 PM
- SMFA & Grafton: Monday - Friday, 8:00 AM - 5:00 PM
Event Support:
- Monday - Friday, 7:00 AM - 6:00 PM (based on availability)
- Evening and weekend support is dependent on staff availability, and labor charges may apply.
Note: Events outside of standard operating hours incur labor charges. More details can be found in the Labor Rates section below.
Events vs. Classes
Classes:
- Regular classes are supported without extra fees during standard hours.
- Additional equipment or support outside regular hours may incur charges.
Events:
- Anything that is not a regularly scheduled class is considered an event.
- Non-accredited or unscheduled classes outside regular times or rooms may be classified as events and could incur labor costs.
Advanced Notification & Support Requests
Notification Requirements:
- 7 business days’ notice is required for non-emergency classroom or event support requests.
- Late requests (less than 7 business days) may incur a $200 late fee.
- Emergency AV Support: Call 617-627-3376 ( Press 1) (Mon-Fri, 7 AM - 5 PM). All other times, please remain on the line for a help desk agent.

Note: Professional recordings or live streaming require a one-month lead time.
Equipment & Staff Availability
Using Available AV Systems:
- Rooms with integrated AV systems should be prioritized.
- Equipment availability can be checked at AV Rooms List.
Additional Equipment Requests:
- Equipment will be provided where possible based on availability.
- Subcontracting or additional labor fees may apply if TTS AV lacks equipment or staff.
Rain Locations for Outdoor Events
A rain location must be arranged for all outdoor events.
Timeline:
- Events held on weekends or Mondays must confirm by 5:00 PM on Friday.
- In case of inclement weather, services may be canceled for safety reasons.
Pricing/Labor Rates
Standard Setup/Strike for In-Room Systems (Mon-Fri, 7 AM - 6 PM): No charge.
- Additional labor ($35/hour) applies for non-equipped rooms or where extra time/staff is needed.
- After hours or weekends incur higher fees:
- After 6:00 PM (Mon-Fri): $35/hour.
- Weekends: 4-hour minimum at $45/hour.
Dedicated Technicians:
- $55/hour for a minimum of 4 hours. After 8 hours, $55/hour applies for additional time.
Non-Tufts University Events
Non-Tufts events are billed for both labor and equipment, subject to availability and a separate rate schedule.
