Zoom Integration Policy and Review Process at Tufts

Purpose

The Zoom App Marketplace offers a collection of apps, integrations, and connections that are designed to enhance the functionality of the Zoom platform.

Users may submit app requests, which will then be reviewed by Tufts Technology Services (TTS). The goal of app integration is to support collaboration at the University while ensuring alignment with institutional goals, minimizing duplication of functionality with existing services (e.g., Box, Microsoft Teams, etc.), and upholding data privacy and security standards. TTS will periodically review and remove previously approved apps as needed.

This page describes how to discover apps, including ones that have already been approved, as well as the request and approval process.

NOTE: Tufts Technology Services is not responsible for additional support associated with the use of apps outside of our official service offerings, including apps approved via the process outlined below.

Discovering Apps in the Zoom Marketplace

  1. Log in to the Tufts Zoom website with your Tufts credentials.
  2. Click Products in the top menu, then select App Marketplace (in the Apps & Integration section).
  3. Click Discover More Apps in the top right corner.
  4. The Zoom App Marketplace will load, with options to search and browse categories, and apply filters. To request an app, follow the process outlined in the following section.

    To see a list of apps approved at Tufts, scroll to the bottom of the lefthand panel to the Approved Apps section. Select Public apps.

Integration Request and Review Workflow

Requests will be submitted and reviewed by the following process. Decisions may take up to a month, depending on the complexity of the request.

  1. Request: To request an app, please email it@tufts.edu with the following information. A support ticket will be generated and a member of the Zoom admin team may reach out for additional information.
    • Subject line: “Zoom App Integration Request: *Name of App*”
    • Your name
    • The name of the App
    • Reason for request (Please tell us more about your intended use for this integration, including how it will support your work or program?)
  2. TTS Review: The Zoom admin team will review  the requested app. Some of the information taken into consideration includes, but is not limited to:
    • Functionality: Is the integration duplicating an existing Tufts-supported tool?
    • Integration Type: Is the app user-managed (preferred)? Is it only available on the enterprise account-level? (requires additional authorization steps)
    • Audience Scope: Is the tool meant for individual or small-scale use versus large-scale?
    • Data Access and Permissions: What information does the app collect, modify, or access?
    • Privacy policy and terms: Are there any red flags, including unclear practice for data collection, storage, and use?

In some cases, review by the TTS Office of Information Security may also be required.

  1. Response: Once a decision has been made, a member of the Zoom admin team will respond via your ticket with an update. We aim to complete reviews within 2-4 weeks of our acknowledgement of them.
